1. Who we are

Gakko is a school management platform provided by Dyutilife Pvt Ltd. Each school that signs up for Gakko is the data controller for its own students', parents' and staff's information; Dyutilife Pvt Ltd acts as the data processor operating the platform on the school's behalf, in line with India's Digital Personal Data Protection Act, 2023 (DPDP Act).

2. Information we collect

From the website

• Details you submit through the "Get started" / trial request form: name, phone number, email address, school name and approximate student count.
• Basic device and usage information (browser type, pages viewed) needed to keep the site working correctly.

From the Gakko application (once a school is onboarded)

• Admin/staff accounts: name, mobile number, role, login activity.
• Student records: name, class/section, attendance, fee status, report cards, transport route — entered and owned by the school.
• Parent accounts: name, mobile number, linked child(ren), notification preferences.
• Transport data: live bus location while a trip is active, pickup/drop timestamps.
• Payment data: fee payments are processed directly by each school's own Razorpay account; Gakko does not store full card numbers or bank credentials on its servers.

3. How we use information

• To operate core features: attendance, fees, homework, report cards, transport tracking and notifications.
• To respond to trial requests and support enquiries submitted through this website.
• To send transactional notifications (attendance alerts, fee receipts, bus arrival alerts, homework/diary updates) via push notification, SMS or email.
• To maintain the security, integrity and audit trail of each school's account.

We do not sell personal data to third parties, and we do not use student data for advertising.

4. Sharing and third-party services

We share data only where it is necessary to provide the service:

• Payment processing: Razorpay, under each individual school's own merchant account.
• Push notifications: Firebase Cloud Messaging, to deliver alerts to the Gakko mobile app.
• Hosting and infrastructure: our cloud hosting and database providers, solely to run the platform.

These providers are only permitted to use the data to deliver the service to us — not for their own purposes.

5. Children's data

Gakko is used by schools to manage student records, including students under 18. Student data is entered and controlled by the school, on the basis of the school's own relationship with parents/guardians under the DPDP Act's provisions for processing children's data. Parents may request access to, or correction of, their child's data through their school's administration.

6. Data retention

Data is retained for as long as a school's account remains active, plus a limited period afterward as required for academic records, legal compliance, or as instructed by the school. A school may request export or deletion of its data by contacting us.

7. Security

We use encryption in transit (HTTPS) and at rest for sensitive fields such as payment credentials, role-based access controls, and authenticated APIs across the web and mobile apps. No system is 100% secure, and we continually work to improve safeguards.

8. Cookies

The gakko.tech marketing website uses only essential, non-tracking technical storage needed for the site to function (such as remembering your light/dark theme preference). We do not use third-party advertising or analytics cookies on this site.

9. Your rights

Depending on your relationship with a Gakko-using school, you may have the right to access, correct, or request deletion of your personal data. Parents and staff should first contact their school's administration; schools can contact us directly at support@gakko.tech.

10. Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected by updating the "Last updated" date above.
